How to automatically extract data from email attachments

Invoices, quotes and supporting documents arrive by email and often end up retyped by hand. This guide explains how to forward an address to Koncile so every attachment is classified, read and its data extracted, with Gmail, Outlook or your own mail server.

What is email attachment extraction?

Email import automatically sends the attachments received on an address to Koncile. Each file is isolated, recognized (invoice, ID, quote, report), routed to its extraction template, then its data is extracted. All the information is consolidated in the platform or in your tools, with no opening or manual entry.

How does email import work?

A simple forwarding rule is enough. From then on, every incoming email follows the same path, from message to structured data.

  1. Step 1

    Receipt

The email reaches the forwarded address.

  2. Step 2

    Isolation

Each attachment is pulled out: PDF, image, DOCX.

  3. Step 3

    Reading

OCR reads scans and rebuilds the layout.

  4. Step 4

    Classification

The AI recognizes the type and picks the template.

  5. Step 5

    Extraction

Chosen fields are extracted and exported.

Which emails should you process automatically?

Inboxes that receive a steady flow of documents are the first to automate. Four common uses among Koncile teams.

Vendor invoices

Vendor, amounts, date, number, sales tax and line items are extracted as soon as the invoice arrives.

Customer and vendor files

IDs, proofs, contracts and certificates are recognized and filed, in several languages.

Incoming quotes

Amount, reference, products and terms of each quote arrive structured, ready to compare.

Shared inboxes

Addresses like invoices@, ap@ or hr@ are processed continuously, with no manual sorting.

Does Koncile work with Gmail and Outlook?

Yes. Koncile works with any mail system, including Gmail, Outlook and on premise servers. Just forward an address to the dedicated address Koncile assigns you. The subject, sender and body of the message can be passed along with the attachments, to pick up a policy number written in the email, for example.

What if an attachment holds several documents?

Koncile detects that a file bundles several documents and splits it before extraction, using automatic PDF splitting. Each document is then sorted by automatic classification and processed in its own template.
