Handwriting OCR: how to extract handwritten text from documents

Annotations, forms filled in with a pen, prescriptions and corrected delivery receipts trip up standard OCR. This guide covers how Koncile finds and reads handwriting, which documents it applies to and how to review a hard to read value.

What is handwriting OCR?

Handwriting OCR recognizes characters written by hand on a scanned or photographed document: annotations, form fields, notes, corrections, checkboxes. Koncile turns this information into usable data and puts it back in its structure, ready for your tools and internal workflows.

How does Koncile read handwriting?

Reading happens in four steps, on the same page as the printed text. The result comes out in the same fields as the rest of the document.

  1. Step 1

    Detection

Koncile finds the handwritten areas on the page.

  2. Step 2

    Recognition

The AI rebuilds irregular, slanted or rushed characters.

  3. Step 3

    Context

Each piece of writing goes back in its box or field.

  4. Step 4

    Export

Data comes out in Excel, in JSON or by API.

Which handwritten documents can you process?

Anywhere a paper document is filled in with a pen. These are the cases Koncile users process most often.

Prescriptions

Patient name, prescribed drugs and physician notes are read, then matched against a drug database.

Paper forms

Names, dates, notes and checkboxes filled in by hand come out as structured fields.

Annotated delivery receipts

Corrected quantities, driver remarks and handwritten sign offs are captured with the rest of the receipt.

HR documents

Handwritten notes on an offer letter, an onboarding form or a review sheet are transcribed.

Field reports

Pen comments on drawings, job site reports and manual meter readings become searchable text.

Banking documents

Notes on statements, check stubs and deposit slips are extracted along with the amounts.

How do you check a hard to read handwriting?

Every extracted field carries a confidence score that flags readings to review. For known lists, such as drug names, Koncile matches the value read against a reference database to fix the spelling. A document too unclear to classify goes to the classification alerts, where an operator assigns it to the right template.

Signatures are detected as handwritten areas, without being transcribed into text.

Can you send handwritten data to an ERP or CRM?

Yes. The data read is exported to Excel, sent by API or pushed to your tools through connectors such as Make, Zapier or n8n. You enrich vendor records, customer files or product databases with no retyping.

An AI OCR built for security

Your documents are never used to train a model. Fully encrypted software, secure storage of extracted data, a SOC 2 certified and GDPR compliant platform.

Handwriting OCR FAQ

What is Koncile?

Koncile is document extraction and automation software. It turns invoices, quotes, purchase orders, contracts, IDs or prescriptions into usable data, in Excel, in JSON or straight into your tools by API.

Does the tool handle cross outs and corrections?

Yes, as long as they remain legible. Signatures are detected as handwritten areas but are not transcribed.

Does Koncile detect checkboxes?

Yes. Checked, empty or partly filled boxes are returned as a usable field.

What does Koncile do with illegible text?

The field gets a low confidence score and can be reviewed. A document that cannot be classified goes to the alerts, where an operator handles it.

Does Koncile work on poor quality scans?

Yes, within the limits of legibility. A sharp 300 dpi scan gives the best results on handwriting.

Which languages are supported?

Reading is multilingual and covers Latin alphabets as well as other writing systems.
