How to classify documents automatically with AI

Opening every file to see whether it is an invoice, a quote or a contract takes time with each batch. This guide shows how Koncile recognizes what each document is, routes it to the right extraction template and handles the cases it does not recognize.

What is automatic document classification?

Automatic classification recognizes what a document is as soon as it is uploaded and routes it to the right processing. In Koncile, categories are your extraction templates: an invoice goes to the invoice template, a purchase order to its own, and each comes out with its own fields. Documents no longer need to be opened one by one to be sorted.

How does AI document classification work?

The same steps run for every document, whether you upload it in the app, by email or by API.

  1. Step 1

    Text

OCR reads scans and photos; a native PDF is read directly.

  2. Step 2

    Analysis

A language model understands what the document is.

  3. Step 3

    Rules

Your instructions refine sorting by vendor or entity.

  4. Step 4

    Routing

The document joins its template and its fields are extracted.

Which documents can you classify automatically?

Any document you have built a template for. These are the most common sorts by team among Koncile users.

Accounting and finance

Invoices, credit memos, receipts and bank statements are recognized, then extracted with amounts.

Human resources

Onboarding documents, offer letters, amendments and pay stubs land in each employee's file.

Purchasing and supply chain

Purchase requests, quotes, purchase orders, packing slips and invoices are sorted along the procure to pay cycle.

Freight

Bills of lading, customs forms and certificates of origin are filed automatically.

Healthcare

Prescriptions, lab reports, claim forms and reimbursement receipts are recognized and filed.

Real estate

Rental applications, leases, move in checklists and inspection reports are filed by property.

What happens if a document is not recognized?

It goes to the classification alerts, reachable from the navigation bar. An operator then picks the right category by hand: this is the human review built into Koncile. Scan quality affects recognition, and classification works across languages.

When a file bundles several documents, automatic splitting cuts it before classification.

How do you create your own categories?

Each category maps to an extraction template: create as many templates as document types to recognize. To go further, describe your rules in plain language, for example splitting invoices by vendor or packing slips by site. These instructions guide the model to match how your organization works.

An AI OCR built for security
